Regulated Document Control

Regulated control differs from internal governance in that the requirements are not negotiable and the evidence standard is defined externally. The organization must demonstrate version integrity, approval by entitled individuals, distribution to a specified population, and retention for a mandated period — per document, on request, often years later. Systems designed for operational convenience satisfy some of this and rarely all.

Where AI participated in handling regulated material, the interaction record shows which rules governed it and what it drew on — which means an examiner reviewing an AI-assisted process sees the same class of evidence expected for a human one.
